1. Who controls your information
Solara Commodities Ltd., International Business Company No. 1503346 (IBC), incorporated in the Commonwealth of The Bahamas, is the data controller for personal information processed for the purposes described in this policy.

2. Scope and applicable principles
This policy applies to information received through this website, email, telephone, meetings and other channels expressly authorised by Solara. It is intended to operate consistently with applicable Bahamian data-protection law, including the Data Protection (Privacy of Personal Information) Act, 2003 and any legislation that replaces it when brought into force.
We seek to process personal information fairly and lawfully, for specified purposes, accurately, securely and for no longer than reasonably necessary.
3. Information we may collect
- Contact information: name, position, corporate email address, telephone number and business address.
- Corporate information: company name, jurisdiction, registration details, ownership, directors, signatories, website and operating history.
- Commercial information: product requirements or availability, quantities, specifications, locations, Incoterms, timelines and communications.
- Due-diligence information: identity, authority, beneficial ownership, sanctions and risk-screening results, source or use of funds where relevant, and documents needed for a qualified transaction.
- Technical information: IP address, browser and device information, security logs, pages requested and essential hosting or authentication data.
4. How information is obtained
Information may be obtained directly from you or your organisation, from an authorised representative, from transaction participants, from professional or compliance providers, and from lawful public sources used to verify corporate identity, authority, sanctions exposure, adverse media or commercial representations.
5. Why we use information
- to respond to and assess enquiries;
- to verify counterparties, beneficial owners, representatives and authority;
- to evaluate and structure potential or actual transactions;
- to communicate and administer commercial relationships;
- to conduct sanctions, fraud, financial-crime and transaction-risk controls;
- to protect Solara, counterparties and the integrity of communications and documents;
- to comply with applicable law, contractual duties, court orders and legitimate regulatory or law-enforcement requests; and
- to establish, exercise or defend legal rights.
Depending on the circumstances, processing may be based on your consent, steps requested before a contract, performance of a contract, compliance with legal obligations, protection of legal rights or Solara’s legitimate commercial and security interests.
6. Disclosure and transaction participants
Where legitimate, necessary and proportionate, information may be disclosed to professional advisers, compliance and screening providers, technology and hosting providers, banks, paymasters, escrow agents, insurers, inspection companies, terminals, refineries, logistics providers, transaction counterparties and public authorities.
Recipients receive only the information reasonably required for their function. Solara does not sell or rent personal information.
7. International processing
Solara operates internationally and principally develops fuel opportunities involving Houston and Rotterdam. Information may therefore be processed or disclosed outside The Bahamas where necessary for a legitimate enquiry, due diligence, professional advice or transaction. We seek to use appropriate confidentiality, access and information-control measures for such transfers.
8. Retention
Information is retained only for as long as reasonably necessary for the purpose for which it was obtained and for related contractual, compliance, record-keeping, fraud-prevention, dispute or legal requirements. Retention depends on the nature of the information, the status of the enquiry or transaction, risk, applicable law and professional advice. Information that is no longer required is deleted, anonymised or securely archived as appropriate.
9. Security
Solara seeks to apply reasonable technical, organisational and contractual measures appropriate to the sensitivity of the information. These may include restricted access, authenticated channels, document controls, secure service providers, confidentiality obligations and independent confirmation of material instructions.
No website, email or electronic transmission can be guaranteed absolutely secure. You remain responsible for using secure systems and for not transmitting sensitive material through an unapproved channel.
10. Cookies and technical services
The website and its hosting or security providers may use essential cookies or similar technologies required to deliver pages, maintain security and support access controls. Solara does not currently use the public website for behavioural advertising. If non-essential analytics or marketing technologies are introduced, this policy and any required consent mechanism will be updated.
11. Your rights
Subject to applicable law and relevant exemptions, you may request confirmation of whether Solara holds personal information about you, access to that information, correction of inaccurate information, deletion where it is no longer lawfully required, or restriction of certain uses. You may withdraw consent where processing depends on consent, without affecting prior lawful processing.
Solara may need to verify your identity and authority before responding. You may also raise a concern with the Office of the Data Protection Commissioner of The Bahamas.
12. Children
This website is intended for business users aged 18 or over. Solara does not knowingly solicit personal information from children.

Links to third-party websites are provided for convenience or verification. Solara does not control their security, content or privacy practices.
14. Changes to this policy
This policy may be updated to reflect changes in law, technology, business practices or the website. The effective date above will be revised when material changes are published.
